Setting Minimum Staffing Requirements

Minimum Staffing, a flexible and easy-to-use feature, allows the defining of minimum staffing requirements for each schedule. In addition to setting a minimum number of people are working, you may find yourself needing to utilize this feature when special positions or member requirements are needed. For example, ensuring a specific employee status is met such as full-time, part-time, or volunteer, or even by position such as an EMT, Medic or Driver. Additional fields in the Member Database may need to be added. 

To set your minimum staffing requirements in the Aladtec system, go to Setup – Schedules – Minimum Staffing. Warnings will be displayed on schedules, in either the calendar view or Hourly Editor, that do not comply with your pre-set requirements. 

Staffing requirements can be set: 

  • Per schedule, down to the hour within each day of the week 
  • For a minimum number of staff 
  • For multiple qualifications using member database fields, including any combination of select lists, multi-options, and expiration dates 

For example, in the image below, minimum staffing has been set to a minimum of four4 members working 7AM – 7AM Next Day. Since we are below the requirements, a warning icon (red exclamation point) has been displayed. Additional details will be explained when you click on the warning icon. 

Up to four additional Minimum Staffing Requirements can be added by clicking on the + sign next to Minimum Staffing. This is where we can choose fields from the Member Database, such as employee type, work qualification, or staffing level.   

When in violation, you may also filter the work schedule view to only include violating schedules and focus on resolving the violations. Once the requirements are met, the warning icon will disappear.
